Which Meeting Room Reservation Systems cover external booking, desk booking and automated room occupation signs!

We are looking for space management solution for external room booking, desk booking and ideally something sensor based and automated for internal rooms. Perhaps something that detects motion and can show if a room is in use either via showing as booked on a system or possibly a digital signage / red light / green light system outside the rooms.

  • We use RRS to book all our spaces ( room reservation system ), It is automatically linked to our Creston panels placed outside each of our Client rooms which will display the meeting information.
  • We use Trimble as a booking system for external bookings, but it is far from ideal. 
  • This is done via internal company web.
  • The best system I came across that can integrate with Condeco and other existing systems is Vpod which offers one platform solution that connects technology and people flow (sensors, desk bookings, room bookings, catering, access control, helpdesk system, smart lockers, etc)
  • To show whether internal room is in use, we book them via Outlook – you can see the list to show whether it has been booked or not. However, still you may experience no shows etc – the idea of sensors is ok, but as well may be tricky for longer meetings where people mostly sit. I have heard of a pretty great solution, where you book a room, and then upon arrival you have to type a passcode – but not to enter, but to keep the booking. If you don’t put the pass within 15 mins (I am sure time depends on initial settings), system will release the space and other will be able to book it. Outside the room, on the wall, there is a little display showing the list & timings of bookings. Nice and discreet (lights have this radio ‘on air’ vibe; may not be suitable for some companies).
  • Datacraft/Manhattan/Trimble/MRI Software – they have changed hands so many times but basically the product is the same and still the best out there. We have temps coming in that say they can’t understand why everyone does not have this system as it is by far the easiest and user friendly. It does all the things you are asking but not sure about the sensor based thing although I think it was on the cards. The room panels can be booked either by swiping a card or logging in. Can be compatible with your pass system. 
  • We have a self serve room booking system called CSconnect for reserving meeting rooms, alongside the system that our Conference Services team use.  We currently don’t hot desk though I know EMS/Accruent have a system in place.
  • Nothing in place at the moment, however NFS Rendezvous may be able to assist.
